My referral is submitted,
what's next?
On this page, you will find information about what will happen after you submit the referral and form.
How long is the wait time ?
At this stage, new referrals will receive an appointment approximately 3-4 months.

You will receive an email confirmation
You will receive a confirmation email upon submission.
You do not need to call us to confirm whether we receive the referral.

The referral will be reviewed & placed on the wait list
The referral will be screened and triaged by our staff for paediatrician review, and you will be placed in a waitlist.
On these conditions, we will send the referral back to you:

If it is not within our services provided, we will inform you the reason and advice alternative option/ pathway)

If referral is not from a GP

If it is addressed to other clinic

If the referral is poorly scanned and not readable (We will advice you to resend, please note this will push you back in the queue).

You will receive a call
We will give you a call on two attempts to organise your first appointment. If we are not able to reach you, a voice message will be left for you to organise the appointment. In consideration for others in the queue, the referral will be sent back to GP if there is no response within 2 weeks.
Initial appointments are made over the phone, and feel free to ask us about fees, process and any other concerns.

You will receive the appointment letter
When an appointment is confirmed, you will receive an appointment letter and information sheet via email. Please check that you have received this and try your junk mail if not found. If you have not received it please let us know promptly.
At this stage you can start sending us any relevant documents and reports for us to keep in your patient file.

You will receive an SMS reminder for appointment
You will reminded through SMS one week prior to your appointment.
A response is necessary, so we know that you are coming.
This should give sufficient time for you to organise and email us any school or neuro-psychologist reports, OT reports, school letters etc. Please include previous paediatrician letter if you've seen one, pathologist report and investigation reports.
Sending the reports same day of the appt, i.e very early in the morning for same day 9am appt :) will not guarantee the files to be in the child's profile and reviewed by the doctor.
If you don't have any reports or letters, not to worry, you just need to attend the appointment with the child :).

Cancellation Policy
Deposit :
We do not take deposit for any initial bookings, So please give us enough time to contact next waitlisted family to offer the appointment.
Cancellation:
If you wish to cancel your appointment, please ring us at least 48 hours prior to your appointment day.
Failure to do so will incur a $120 (Non-Attendance Fee) which is not claimable to Medicare. (This is to cover the doctor's time, and the administrative time to review your referral, organise appointments and creating the patient file),
Rescheduling:
To reschedule the initial appointment we will need a deposit of $150 which is non-refundable and non-transferrable. This is to ensure the appointments are prioritised for those who require it urgently.
No deposit is required for rescheduling review appointments.
Missed Appointment / DID NOT ATTEND (DNA):
For missed initial appointment : DNA fees will apply. Rebooking will require a $150 deposit.
For all missed Review Appointment: DNA fees will not apply, rebooking deposit of $150 will apply if you wish to make another review appointment.
These policies are in place to make sure families who need the assessments can get the help they need, we appreciate your understanding and patience in our process.
